Privacy Policy

1. What we collect

From you (the realtor)

• Name, email, phone number
• Brokerage name and business details
• Billing details (processed and stored by Stripe — we do not store full card numbers)
• Prompts, greetings, and configuration you give Sarah

From your callers

• Caller phone number and call metadata (time, duration)
• Audio recording of the call
• AI-generated transcript and summary
• Any details the caller shares during the conversation (name, property interest, etc.)

2. Why we collect it

• To provide the Service — answering, transcribing, and summarizing calls.
• To bill you and prevent payment fraud.
• To improve reliability and diagnose issues.
• To comply with legal obligations.

We do not sell your data. We do not use your call recordings or transcripts to train third-party AI models.

3. Who sees your data

• You — via the dashboard.
• Authorized Sedam Intelligence staff — only when needed for support, billing, or abuse investigations.
• Sub-processors below — each handles a specific part of the pipeline.

4. Third-party processors

Primary data residency is Canadian and US servers via the vendors above. By using the Service, you consent to your data being processed in these jurisdictions.

5. How long we keep it

• Call recordings: 90 days by default, then automatically deleted. You can shorten or extend this in your dashboard settings.
• Transcripts & summaries: 2 years, so you can search your call history.
• Account data (name, email, brokerage, settings): while your account is active, plus 1 year after cancellation.
• Billing records: 7 years, as required by Canadian tax law.

6. PIPEDA compliance

We operate in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and the ten fair information principles it sets out: accountability, identifying purposes, consent, limiting collection, limiting use/disclosure/retention, accuracy, safeguards, openness, individual access, and challenging compliance.

If you are a caller and you are uncomfortable with being recorded, you can hang up or tell Sarah and she will end the call. Realtors using the Service are responsible for disclosing call recording to callers where required by provincial law.

7. Your rights

Under PIPEDA, you have the right to:

• Access the personal information we hold about you.
• Correct inaccurate information.
• Delete your data (subject to legal retention requirements like tax records).
• Withdraw consent by cancelling your account.
• Complain to the Office of the Privacy Commissioner of Canada if you believe we have mishandled your data.

8. Security & breach notification

• Data is encrypted in transit (TLS) and at rest via our hosting providers.
• Access to production data is limited to authorized staff with MFA.
• If a data breach occurs that poses a real risk of significant harm, we will notify affected users and the Office of the Privacy Commissioner of Canada as soon as feasible, as required by PIPEDA's breach-reporting rules.

9. Cookies

We use minimal, essential cookies to keep you signed in and remember preferences on sedamintelligence.com. We may use privacy-respecting analytics to understand aggregate site traffic. We do not use third-party advertising cookies on the dashboard.

10. CASL (Anti-Spam)

Under Canada's Anti-Spam Legislation, we only send you commercial email with your consent (express or implied from your subscription relationship). Every email includes an unsubscribe link that works.

11. Children

The Service is for business use by licensed realtors. It is not directed at anyone under 18. We do not knowingly collect data from children.

12. Changes

If we update this policy materially, we will email you before the changes take effect. The "Last updated" date at the top always reflects the current version.
